{"id":975,"date":"2021-06-30T13:20:52","date_gmt":"2021-06-30T13:20:52","guid":{"rendered":"https:\/\/www.eastcentral.edu\/board-policies\/?page_id=975"},"modified":"2025-01-13T21:40:25","modified_gmt":"2025-01-13T21:40:25","slug":"archives-development","status":"publish","type":"page","link":"https:\/\/www.eastcentral.edu\/board-policies\/finance-and-administration\/archives-development\/","title":{"rendered":"4.51 Archives Development"},"content":{"rendered":"\n<p class=\"wp-block-paragraph\"><em>(Adopted 1-4-1988; Revised 8-28-2003, 6-14-2021)<\/em><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">College documents that are of historical importance will be stored in the College archives.&nbsp; The Director of Library Services will have the authority to accept or reject materials submitted to the archives.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>Procedures<\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>4.51.1<\/strong>&nbsp;&nbsp;&nbsp;&nbsp; <strong>Archives Submissions <\/strong><em>(Revised 6-14-2021)<\/em><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It will be the responsibility of the division or entity producing the submitted document or publication to see that the necessary copies, in number and required format, are forwarded to the library for inclusion in the archives.&nbsp; The development and maintenance of the archives shall be the responsibility of the library staff.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The archives will permanently store three (3) copies of official College publications.&nbsp; The list will be reviewed as needed by the Director of Library Services and will include, but will not necessarily be limited to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>College Newspaper<\/li>\n\n\n\n<li>Yearbooks<\/li>\n\n\n\n<li>Catalogs<\/li>\n\n\n\n<li>Commencement Programs<\/li>\n\n\n\n<li>Building Dedication Programs<\/li>\n\n\n\n<li>Foundation Reports<\/li>\n\n\n\n<li>Literary Reviews<\/li>\n\n\n\n<li>Student Handbooks<\/li>\n\n\n\n<li>Fine &amp; Performing Arts Event Programs<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>4.51.2&nbsp;&nbsp;&nbsp;&nbsp; Rejection of Archive Request <\/strong><em>(Adopted 6-14-2021)<\/em><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Should a document or publication submitted for inclusion in the archives be rejected by the Director of Library Services, the division or entity submitting the document or publication may appeal to the President of the College to make a determination regarding retaining the item in the archives.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>(Adopted 1-4-1988; Revised 8-28-2003, 6-14-2021) College documents that are of historical importance will be stored in the College archives.&nbsp; The Director of Library Services will have the authority to accept or reject materials submitted to the archives.
